OK, so what's this Alextra thing all about and is it for me?
Alextra Document Server is a service which lets businesses store documents online securely so that they can be accessed and distributed any place at any time under complete owner control. If you're currently using a fax machine or email to regularly exchange documents with customers and suppliers then Alextra could make you even more productive.

Yes, but I'm happy with what I've got so what's so much better about Alextra?
Email and fax are point-to-point ways of communicating and so are limited when it comes to working collaboratively in a group. How many times have you had an email, you were expecting, sent to the wrong mailbox or had a fax picked up by a colleague so you didn't know it had arrived. Alextra keeps all documents in one central place so everyone can share and see what is going on. It also keeps a record of revisions and pending modifications so history and experience is not lost.

Alright, but what about security? Surely anybody can see anything on the web? That's what it's all about, isn't it?
Yes, one of the benefits of the web is to make information easily available and most web pages aren't secure but that doesn't mean that all information needs to be shared freely. We keep your proprietary and private information secure in a database with state-of-the-art security measures to protect it both electronically and physically.

So if it's so secure, who can get at it?
Only you and the users you actively decide to share it with. You have overall control, but, you can opt to share all or part of your documents with others for as little, or as long, time as you want. Alextra can be used for short-term projects or as a long-term reference library.

Does this mean that we would have to transfer all of our documents to Alextra?
Copies of documents you want to share are put into the Alextra Document Server system. You would keep the original of your proprietary documents on your local network and use Alextra to distribute them to others and act as a way of coordinating feedback. One additional benefit of this is that you have a ready-made offsite backup capability at no extra charge!

What do you mean by coordinating feedback?
The integral viewer on Alextra has a powerful markup tool which can be used to 'redline' a document. For example, you may be in Houston and one of you installation engineers may be onsite in Australia. He or she sees an error on a technical drawing or in the instruction manual. By marking up the document that has been accessed online, straight away, valuable feedback information is captured whilst attention is focused instead of potentially being forgotten by waiting until later.

So, everybody is accessing documents and making changes, can I track what is going on?
Yes, a log is kept of activity on the site and you can access this if you want, alternatively you can choose to be advised by e-mail of specific events.

I've heard that extra viewer plug-ins are needed to see special files, do I need one?
No. One of the advantages of the Alextra system is that there is no need to download and install any special viewing software. Everything you need is provided automatically when you try to view a file. This has the great benefit that you can access your documents from anywhere. For example, if you were in a client's office you could use their computer to display a document, such as a drawing, online.

Would all my clients and suppliers have to sign up to the Alextra service?
Not at all. You can choose to give access to whomever you want. People outside your company would only be given limited access to view files but otherwise the only limitation is the number of concurrent viewers you have signed up for.

What happens if I want to share a document with someone without internet access?
No problem. There is still the integrated faxing facility which will let you send them a document with a few mouse clicks and will even allow them to fax back into your Alextra account. Users with email-only internet access can do the same but with emails instead.

Nothing worth having is free, so, how much does it all cost?
Prices for a single user start at $75 (£50) per calendar month with additional users charged on the basis of the features they subscribe to. Emailing documents is a free service but there is a small, per transmission, charge for the faxing service.

I'm convinced but, if I sign up, am I locked in forever?
We want you to experience the benefits of the Alextra service and see what it can do for your bottom line. We are so convinced that you will see the benefits of Alextra within the first month that we are happy to offer all customers an unconditional 30-Day Money Back Guarantee. If Alextra is not for you we will be sorry see you go but happy that you gave it a try.

How do I sign up?
The signup process is all done online with billing charged to a Mastercard or Visa credit card through our secure server. You are in complete control of your own account and can add or remove features as required. If you are unable to take advantage of our online service, we can offer qualified companies a manual sign up service and we will setup your account for you.
